Hotel Arts features 185 guestrooms across five room types. We offer discounted group rates for inquiries of ten or more rooms per night and also provide discounted rates for on-site and off-site catered events, even if you only need one room.
We regularly host guestroom blocks of up to 140 rooms per night. If your needs exceed our capacity, we will help you with overflow rooms at nearby hotels, including consolidated billing support.

Rates
Just like airline rates, hotel guestroom rates vary by season. Typically, during quieter seasons, you can expect lower rates, while rates are usually higher during peak-demand seasons. If you have flexible dates, our Sales Managers can help you identify the best month or day of the week to meet your group budget goals.
Blocks
A block is a fixed number of guestrooms set aside for exclusive use by your group. Mutually beneficial arrangements are the key to success for both your group and the hotel. Neither a hotel nor a group planner wants to take on responsibilities they can’t manage.
Hotels can generally offer two ways to plan your group block: contract or courtesy.
Contract
A hotel block contract confirms the number of rooms and the group rate. The contract guarantees availability to the group planner for their attendees at a specific rate – no matter what. The hotel prevents anyone else from buying your block rooms, and in return a hotel asks the group to utilize a minimum number of these rooms, typically 70-90% of the block. If you are planning a conference, a contract provides you peace of mind.
Courtesy
A courtesy rate is a discounted guestroom rate without any guarantees. The discounted rate could be a fixed rate, or a percentage off the hotel’s public rate. Without a contract, the group has no obligation to use any of the hotel’s guestrooms, in return the hotel does not set aside rooms specifically for your group. This can be a good option for small groups who cannot guarantee an attendee number, e.g. a wedding couple wanting to offer a discounted rate for their attendees, but if a hotel sells out you could find that courtesy rate is withdrawn by a hotel. The Hotel Arts Sales team will help you identify appropriate dates for courtesy rates in Calgary.
The most important factor when choosing a hotel is feeling comfortable with timely communication. When you start planning your event, you may find that your needs change. Maybe the contract you signed has too few or too many rooms. Maybe your courtesy rate now needs a guaranteed block to go with it. The more notice you can provide a hotel, the longer they will have to help you. At Hotel Arts, you’ll receive the full support of our Sales and Revenue team, as it’s in everyone’s interest that you succeed.
ACCEPTING RESERVATIONS
Once a contract or courtesy arrangement is in place, you decide how the hotel should accept reservations from your attendees.
ROOMING LIST
If you want to have complete control over who is booking in your group block, you can choose to provide a rooming list, a list of all your guests with their arrival and departure dates, room preferences, and so on (yes, Hotel Arts has a template if you don’t).
Individual bookings
If you want a hotel that is easy to book for your attendees, make sure to choose a hotel that accepts online bookings and has an on-site Reservations team to assist your guests with questions. Hotel Arts provides group planners with a QR code, web link and reference code so guests can book instantly online 24/7. Our reservation platform is optimized for mobile and desktop bookings. Our on-site Reservations team are here to help your guests by phone and email too.
BOTH
Hotel Arts regularly manages blocks which have a mixture of rooming lists and individual bookings, we’ll take you through the options when your block is ready to sell.
You can be confident that our independent hotel group is full of staff with extensive knowledge and experience. Hotel Arts recognises the importance of professional travel experts and meeting planners.
Commission
Unlike some major international brands, Hotel Arts continues to offer 10% commission on all group room rates to registered travel agents and established travel planning companies. Commission can be paid via Onyx in whatever currency you choose via that platform, or by cheque in Canadian or US currency.

We can’t speak for other hotels, but you should know that every hotel has a fixed number of rooms available per night and most hotels will anticipate selling a certain number of discounted rooms each night, usually more in quieter seasons and fewer in high-demand periods. If a hotel chooses not to quote it might be because they are already at capacity for discounted rooms. Understanding the market can take years of experience and our on-site sales team can help you navigate the Calgary market. Having flexibility with your dates can result in substantial savings.
